What RTO Systems do you need?

I am often asked about the RTO Systems, and what is mandatory to meet the RTO Standards.

Over the years I have written a couple of blogs and also presented videos on the subject however as I have been asked this question recently by a number of people I wanted share my experience again. The RTO system encompass your business systems, your assessment systems and your enrolment systems. In writing this I wish to point out that RTOs must be in a constant continuous improvement mode. They reflect feedback from their students, clients, trainers and assessors and stakeholders.

A great business

A great business is built on quality systems, and an RTO is no exception. 

The RTO systems are the framework for the whole RTO and the way it operates. They support the RTO activities; the training and assessment. 

Your RTO and its systems need to include:

  • policies and procedures that say what you do within the RTO;
  • systems to document continuous improvement processes;
  • systems to document how your assessments are conducted, written, validated, reviewed;
  • systems for gaining customer feedback;
  • processes for training or retraining staff, staff supervision and informing and gathering feedback from staff;
  • systems for managing students and their data from enrolment to issuance of their certification, including support.

Continuous improvement is fundamental in your RTO operations and needs to be part of your systems.

The RTO Standards

Clause 2.2

The RTO:systematically evaluates and uses the outcomes of the evaluations to continually improve the RTO’s training and assessment strategies and practices. Evaluation information includes but is not limited to quality/performance indicator data collected under Clause 7.5, validation outcomes, client trainer and assessor feedback and complaints and appeals.

In order to maintain your compliance you will need to conduct a regular review of your training and assessment. Often your feedback comes from a range of information, including:

  • from a client, staff or other source
  • quality indicator data
  • validation outcomes
  • client feedback
  • trainer and assessor feedback, and
  • lack of enrolments or concerns around enquiries
  • student problems or concerns reflected in complaints or appeals
  • ‘trigger’ events such as non-compliance identified in audit results or updates to the RTO Standards or to Training Packages.

To maintain your audit readiness and quality outcomes for your clients you need to have a strong focus on continuous improvement and quality assurance – but doing it simply. Don’t make it a huge onerous task.
